II. Maintenance

B. Act as the initial contact person for day to day facility/maintenance requests form employee or client coordinating and prioritizing requests, communicating requests to appropriate team members or suppliers with managements approval, follow up on completion.
C. Assist in maintaining the professional appearance of the Vancouver office.
D. Maintain routine site walk-thorough, noting areas requiring attention.
III. Operations
A. Generate, submit and track PRFs for all Vancouver facility related purchases. Following approval of PRFs, generating POs and finalizing purchases.
B. Assist in contribution of information to the capital improvement and operational budgets for the Vancouver facility.
C. Establish and maintain approved supplier list, emergency contract list and related facility services contact information in approved systems, communicate internally as required.
D. Producer status reports and cost trackers, provide updated to management and customers, reconcile invoices against budget.
E. Provide administrative support to the client services, accounting and purchasing team(s).
IV. Communication
A. Ensure regular communication with the Executive Producer, Human Resources and Administration.
V. Facility Coordination
A. Coordinate and action requests with regards to renovations, space and furniture planning, including budget planning, producing drawings as required, advise on space configuration options, color, design and decorating ideas.
B. Coordinate the delivery of facility related goods and services (e.g. janitorial supplies, monitoring contracted services, signage, lawn care, snow plowing, security. Pest control, waste removal. Power sweeping, elevator maintenance, fire alarms, window cleaning, sanitary services, etc.). Resolving minor issues and reporting major issues to management.
C. Coordinate the delivery of assigned internal services to staff (e.g. cafeteria and janitorial services, maintenance and administrative services)
D. Coordinate and perform inventory of facility equipment, manage, create and maintain database, advising asset management personnel of changes.
E. Liaise with and provide information to service providers (e.g. vendors or contracted providers), arrange for and attend on site visits and provide administrative support as required.
F. Perform special projects and other duties as required.
